Responsible for performing a variety of administrative and related tasks for the PeopleWorks Directors and People Works Managers handling details of a confidential nature. Requires the utmost initiative and responsibility to make independent decisions within guidelines regarding planning, organizing and scheduling of own work and work for the PeopleWorks team. Handling multiple tasks, coordinate travel, manage projects, and support the PeopleWorks team. In addition, this position will handle scheduling, meeting agendas & minutes, answer telephones and handle various projects relating to PeopleWorks.
Key Performance Elements/Essential Functions
* Responsible for general and administrative support to the Chili’s and On The Border PeopleWorks’ team.
* Type correspondence, reports, memoranda, presentations and special projects as needed.
* Compose letters and memoranda from written and verbal direction.
* Edit and proofread department communications.
* Receive and screen telephone calls, mail and visitors. Handles many matters independently.
* Research and forward appropriately all employee relation calls received at the Restaurant Support Center.
* Collect and prepare information for the PeopleWorks Directors use in discussions and meetings.
* Maintain PeopleWorks Directors and PeopleWorks Managers daily appointment calendars, schedule appointments and meetings; make travel and lodging arrangements as required.
* Provide confidential administrative support to team.
* Heavy involvement in planning and coordinating meetings and department deliverables.
* Attend PeopleWorks team meetings, take minutes and send to team members.
* Update and maintain all project lists and timelines for the PeopleWorks team.
* Put together PowerPoint presentations as needed.
* Handle multiple tasks and projects on an as-needed basis.
* Other duties as assigned or requested.
TRAINING & DEVELOPMENT:
* Coordinate systems for tracking courses and participants (PeopleSoft, LMS tracking system)
* Coordinate communication to class participants and supervisors (notifications / reminders / directions)
* Send out pre-work materials prior to class
* Maintain appropriate class materials (binders, handouts, etc.)
* Set up meeting facilities: Catering / Off-site and On-site arrangements
* Schedule meetings, handle invoices and billings
Education/Training:
· Previous administrative experience supporting Executive level preferred.
· Some post High School College, Business, Human Resource or Administrative Assistant training.
Knowledge/Skills/Abilities:
· Provide primary administrative support to PeopleWorks Team
· Ability to manage the PeopleWorks Directors and PeopleWorks Managers schedule
· Screen and prioritize phone and mail communications for the PeopleWorks Directors and PeopleWorks Managers
· Receive, date stamp and distribute incoming mail; route outgoing mail
